About the Role
  • Manage the company’s secretarial and administration operations and attend to the day-to-day business needs.
  • Act as a Personal Assistant to the COO, and assist other Senior Managers in their logistic and operational requirements.
Key Accountabilities
  • Manage and maintain a contact database of VIPs inside and outside the Group. Stay knowledgeable of the Group, Government and large corporates’ top executives, and develop friendly relationships with their office administrators.
  • Operate and handle the COO’s inbound and outbound communications including email, phone calls, faxes and post.
  • Provide quality administrative support to the top management including editing, composing and finalizing both internal and external memos and communications.
  • Arrange travel and logistics for all staff, and keep the COO up to date with information needed while traveling.
  • Process the company’s payment requests according to the Group’s policies and standard procedures and using the relevant systems.
  • Manage the company’s petty cash and maintain precise records of petty cash flows.
  • Handles the company’s printing requirements for local and global offices including business cards, letterhead paper, flyers and brochures etc…
  • Arrange internal and external meetings including scheduling, handling logistics, preparing agendas and circulating meeting materials prior to and post the meetings.
Qualifications and experience
  • Bachelor’s degree in a relevant field or Diploma.
  • Minimum 3 years’ experience in a similar role.
  • High skills in Microsoft Office applications, Email clients, the Worldwide Web and the usage of Enterprise software.
  • Effective time management skill
  • Highly organized
  • Fluent in both English and Arabic reading, writing and speaking
