Europe & Russia Region

DP World operates deep sea marine terminals within the Europe and Russia Region; London Gateway, Tarragona, Antwerp, Southampton, Fos, Constanta and Le Havre.  In addition to development projects at; Rotterdam and Yarimca.  We also operate 5 inland/intermodal businesses in Germany and Antwerp and have recently opened a business in Limassol, Cyprus.

This role exists in the European Head Office located in London however this role has global obligations. This office is where the CEO and Managing Director for the Region sits alongside regional departments including Finance, Business Development, Commercial, Human Capital, IT and Legal. We also have several global departments based in London including Pensions and Heritage. 

Purpose of the Role We are searching for candidates to provide support to the Deputy Group General Counsel and Board Legal Advisor on a wide range of company secretarial, administrative and regulatory matters.  It is essential that you our customer service levels are outstanding ensuring the Company Secretariat department runs smoothly and efficiently. Assisting the team by performing investigative work and research to support legal and company secretariat procedures and processes;
Responsibilities of the Role

Amongst a host of responsibilities you will:-

  • Provide a reliable and effective administrative support within the Company Secretariat Department, taking initiative in identifying and resolving problems and issues;

  • Coordinate and assist with queries and requests received by the Department to ensure that all matters are dealt with efficiently and appropriately;

  • Prepare and manage the Group Corporate Compliance Calendar and regulatory announcements timelines, which requires developing an understanding of the company’s listing obligations, including the timeframes and dates for regulatory disclosures.  You will also need to understand the reporting processes and liaise with other departments to incorporate key dates and deadlines;

  • Assist with the drafting and/or summarising of company secretarial correspondence and documentation in any of the following areas as required: corporate secretarial, governance, compliance, and shareholders support;

  • Assist with the formation of new companies and effecting changes to the particulars of existing Group companies, and liaise with other departments, the relevant authorities, regulatory bodies and notaries, and make the necessary filings in this regard;

  • Assist with the preparation of Board materials and management packs and presentations for Board meetings, Executive Committee meetings and the Annual General Meeting.  This requires not only efficient administrative support but also contribution towards ensuring accurate content.  These materials are prepared for Executive Management & the Board requiring a high level of attention to detail;

  • Perform research on applicable regulations, laws, and legal changes in the related jurisdictions;

  • Draft formal legal documents;

Qualifications and Experience

You will have a Bachelor degree or equivalent level in relevant areas of study (e.g. Business Administration, Corporate Governance, Law).  You should be a member of the Institute of Chartered Secretaries and Administrators (ISCA) or Chartered Institute of Legal Executives (CILEx), or other qualifications offered by the National Association of Licensed Paralegals (NALP).

It is essential to have minimum of 4 - 6 years of experience as a Paralegal or Executive Assistant in a law firm or legal department.
