Purpose of the role

The purpose of the role is to provide an analytical and statistical resource for the investigation of operational activity, performance measurement and operational cost.  To fulfil KPI reporting requirements for the company and Group.


Key Objectives and Responsibilities

The objectives are to provide operations management with detailed analysis of operational activity aimed at minimising cost, maximising performance and efficiency and demonstrating the effect of change.


Key Responsibilities

  • To compile and dispatch the regular company and Group KPIs.  Seek wherever possible to automate the process thereby minimizing the time spent on this activity;

  • To compile and present to management team the departmental bonus KPIs. Keep track of the exception list and produce a report monthly. Seek wherever possible to automate the process thereby minimizing the time spent on this activity;

  • Identify, develop, test and implement hourly reports and notifications to be send to terminal users and customers that improve productivity rates, reduce cost and add value to customer services expectations

  • Become an expert specialist user in the use of the data warehouse and reporting tools with the ability to identify weaknesses in the system or propose enhancements. Organise, represent and lead operations interests with IT in the enhancement of this system; Use the data warehouse where possible to compile advanced and multi-level interactive reports for the different users minimizing the time spend on this activity for the end user/ Provide detailed description analysis for data reporting improvement and enhancement project cases to IT department. Prioritize project cases and liaise close with IT department to meet target and time lines during development and testing period.

  • Lead the data report and analysis elements and action points from the Operations department in project development in conjunction with other departments when required

  • Using mathematical, statistical or other analytical tools, investigate various aspects of operational activity as directed.  Produce reports and presentations of results;

  • Seek to interpret requests for analysis so that time wasted on unclear requests is minimized.  This requires an understanding of objectives that may not always be clearly explained.  Seek to carry this out by means of discussion with the requester to gain a clear understanding of why the request has been made and the deliverables expected;

  • Propose the use of additional tools for the analysis of operations where appropriate (computer based simulation or analytical tools/methods);

  • By means of personal monitoring of KPIs and operations in general, take a pro-active approach to proposing the analysis of activity that may result in better performance or lower cost;

  • Be the focal point for person requirement regular reports.  Monitor the production and issuance of customer reports including VOR (Vessel Operations Report);

  • Create and maintain a master table of improvement projects, within operations department, ensuring that these projects are classified & prioritised for implementation;

  • Selects adequate process improvement methodologies and tools. Stays up to date in the application of process improvement tools and techniques;

  • Ensures that documentation on operation processes & improvements, within operations department, are constantly updated;

  • Provide training to users on the reporting tools when required.

  • To ensure that planned financial benefits of operations projects are realised and sustained by evaluating P&L impact post implementation;

  • Assists the Operations management team in achieving and sustaining the terminal operations targets;

  • Create a time table and project plan for any initiative;

  • Initiate & lead improvement projects;

  • Embed DMAIC (Define/Measure/Analyze/Implement/Control) methodology in any improvement project.


    The above outlined responsibilities are not exhaustive and you may be required to carry out other tasks that are appropriate to your role in addition to these.

Experience This position is suitable for someone with experience or a new graduate with advanced knowledge and experience in Microsoft Office (Excel, Word, Power Point, Outlook, Access). Knowledge on Power BI will be an advantage.
Qualifications Degree in mathematics, engineering statistics or other numerate discipline.
