About the Role

The main purpose of this role is to assist and support with the learning administration for the Company and provide operational support for the Leadership and Talent Development functions.

One of this job holder’s main roles will be to support the learning administration for DP World globally, particularly managing the Talent Management System (TMS) and Learning Management System (LMS).   Currently, we do not have people capable to answer the myriad questions that come up about defects in the system, or problems people have with accessing iLearn, iTalent and iCareer (or applicable learning and talent management systems).  This role will be a key point of contact for DP World employees to ask questions and find solutions, and the holder of this role will liaise with vendors (e.g. SumTotal) and resolve issues as they come up.

 The role will also work together with the Learning Solutions Officer on administration of the nomination processes, managing travel and accommodation for facilitators and vendors/partners, and keeping track of financial accounts.

 The job holder will also manage training reports from around the world, and keep track of learning metrics, providing key insights to leaders on capability building efforts globally.

Key Accountabilities

Learning Administration

  • Manage and monitor the Online Learning Environments and liaise with Regions / BUs to support and train if needed. Also, ensure accurate data is recorded\uploaded for all learning activities.
  • Maintain, update and communicate the Learning Calendar to ensure all parties are fully aware of schedules and activities. 
  • Ensure that training charges are raised accurately and on time.  Monitoring of internal / external revenue collection.
  • Be an expert in the LMS and TMS system, administration and process (including performance management) – work with Leadership and Talent Development team and with vendors to provide best-in-class solutions for managing and disseminating learning across the business and around the world.

  • Act as “one-stop” resource for questions about the LMS/TMS and to resolve related issues as they arise.  Train learning and development staff in other countries in learning administration, as required. 

  • Assist global learning centres with metrics around learning, leadership and talent and steward the metrics reports in these areas.

Operations support for Leadership and Talent Management Function 

  • Develop and implement financial systems, processes, and reporting plans, working within budgets to ensure the continuous improvement of financial control and timely reporting.  Generate accounting and financial reports for DP World Hub and ensure that “amount spent” is in line with budget. 
  • Manage the DP World Hub marketing materials, including leaflets, posters, brochures, social media, e-newsletters and websites. 
  • Ensure that the procurement processes for all services, goods and other activities are completed correctly and on time.  Maintain accurate records of costs incurred, and variances in terms of the agreed budget structure and limits. 
  • Work with Leadership and Talent Development team on providing digital and online learning options including supporting the sourcing and design of multi-media tools for communicating and training.
  • Act as an ambassador for DP World at all times when working; promoting and demonstrating positive behaviours in harmony with DP World’s Founder’s Principles, values and culture; ensuring the highest level of safety is applied in all activities; understanding and following DP World’s Code of Conduct and Ethics policies.
  • Perform other related duties as assigned 
Experience & Qualification

Essential:

Bachelor level education, in a Business, Finance or Marketing subject

At least 3 years’ experience post-graduation, ideally with learning & development or marketing experience.

Highly numerate, and knowledgeable in finance principles and processes, with ability to analyse and interpret budgets, revenue and expenditure data

Advanced IT systems knowledge – knowledge and experience working with learning solutions & HR Systems

Must possess high conceptual and analytical skills

Excellent communication and influencing skills

Can contribute to the design and improvement of effective and impactful marketing material.

Project management skills with excellent attention to detail

Desirable:

Experience of quality management systems and administration.

Desk-top publishing skills

Marketing/creative experience
